Sida is now looking for an experienced administrator for the Department of Trade, Private Sector, and Financial Instruments at our headquarters in Rissne, Sundbyberg.

About the job

As a departmental administrator in Sida's finance department, you will be responsible for administration, meeting support, finance, and management-related planning. You will coordinate operational planning, follow-up, and internal forums while contributing to structure and efficiency for the department. You will be part of an experienced team and work at our office in Rissne, Sundbyberg.

Responsibilities

  • Coordinate cross-agency and internal meeting forums, including collaboration with trade unions, and be responsible for minute-taking and meeting support at internal and external meetings.
  • Be responsible for overall administration such as IT orders, onboarding of new employees, document and case management, archiving, agency mailbox, and management of the intranet pages and collaboration spaces.
  • Handle ongoing financial administration, including invoice coding, and provide support to managers and controllers in budget follow-up.
  • Provide qualified administrative support to department management and the department head, including calendar and travel planning, and contribute to structure, order, and foresight in management-related work.
  • Participate in operational planning and follow-up, annual reports, procurements, and surveys on behalf of the manager and act as a contact person for the Director General's staff and for other incoming inquiries.

Qualifications

Education

  • High school diploma

Language

  • Good knowledge of English with the ability to communicate in speech and writing.
  • Very good knowledge of Swedish and the ability to communicate well in speech and writing.

Work experience and knowledge

  • Very good competence and several years of experience in planning, coordination, and effective administration.
  • Good experience working with digital tools in Microsoft Office and with tools for digital meetings
  • Experience in minute-taking
  • Some experience in financial management
  • Documented experience in driving processes, following up, and completing tasks on time and under pressure
  • Experience in managing various tasks and independently prioritizing between them

It is an advantage if you

  • Have experience working as a departmental administrator or equivalent from the private sector, state-owned companies, or public sector.

Good to know

The position is a permanent employment with immediate start. A probationary period applies.

Sida offers the possibility of remote work to some extent if it works for the organization.
